Divide County Library Gift and Donation Policy

The Divide County Library welcomes gifts of money, library materials, and real property that support the Library’s mission and benefit the community. All donations are subject to review and acceptance by the Library Director and, when appropriate, the Library Board.

1. Monetary Donations
Monetary gifts will be deposited into the Library’s Donation Fund and/or Investment Fund and used for Library purchases and purposes as determined by the Library Board and Library Director.

2. Memorial Gifts
Memorial gifts may include money, books, or other materials. Upon request, the Library may provide a bookplate or nameplate honoring a person. The Library may select appropriate materials for memorial donations. Memorial materials are subject to the Library’s De-Selection Policy.

3. Books and Other Materials
Used books and paperbacks may be considered for the collection based on condition, relevance, usefulness, and current collection needs. The Library generally does not accept textbooks, encyclopedias, outdated materials, or items in poor physical condition. Materials not selected may be sold, donated to another organization, or disposed of appropriately.

4. Selection and Acceptance
A donation does not guarantee that an item will be added to the Library’s collection or placed on the shelves. Donated materials are evaluated using the same criteria applied to purchased materials. The Library Director, with Library Board oversight as appropriate, has final authority to determine whether a donation is accepted, added to the collection, retained, sold, donated, or disposed of.

The Library may withdraw donated materials at any time in accordance with its De-Selection Policy. The Library is not responsible for notifying donors when donated materials are withdrawn or otherwise disposed of.

5. Ownership and Restrictions
All accepted donations become the property of the Divide County Library. Donations must be given without restrictions unless an exception is approved in writing by the Library Director and/or Library Board. The Library may use, retain, sell, donate, or dispose of donated items in the manner that best serves the Library and community.

6. Tax Receipts
A receipt will be provided upon request. The Library does not assign a monetary value to donated materials. Donors are responsible for determining the tax-deductible value of their donations and should consult a tax professional if needed.

7. Right to Decline
The Library reserves the right to decline any donation that does not meet its collection guidelines, cannot be appropriately used, or does not support the Library’s mission.
